What happens after someone submits

Set these up in the Workflows tab, so each application reaches the committee and the register without retyping.

  1. Submitted

  2. An application comes in Pro

It waits for the committee’s OK, and the membership secretary approves or rejects it from their inbox.

  3. The committee approves

The new member is tagged “member” in People, so renewal reminders go to one segment by bulk email.

  4. Before each committee meeting

A weekly digest lists new applications and what is still waiting, and on Pro with triage on it adds an AI summary.

What we left out

  • Card details for the fee. Card numbers do not belong in a form field.
  • Social Security or tax numbers. No club needs one to admit a member. If dues come out of pay, that authority is a separate form.
  • Date of birth. The membership type already records a junior. Ask for a birth date only if your rules set other age limits.
  • Ethnicity and household income. If you report on them, ask on a separate, optional form, never as a condition of joining.

How the form changes as people answer

Most people see a shorter form. These questions and screens only appear when an answer calls for them.

  1. When “Are you joining or renewing?” is “Renewing my membership”

shows “Your member number, if you know it”

  2. When “Which membership are you applying for?” is “Family: two adults and any children under 18 at one address”

shows “Who else does this membership cover?”

  3. When “Which membership are you applying for?” is “Reduced rate: student, senior or on a low income”

shows “Which reduced rate applies?” and “Please bring proof, such as a student card, the first time you…”

  4. When “Which membership are you applying for?” is “Junior: under 18, no voting rights”

shows “Parent or guardian name” and “Parent or guardian email”

  5. When “How did you hear about us?” is “A current member”

    shows “Which member?”

  6. When “Which membership are you applying for?” is “Junior: under 18, no voting rights”

shows the “Thanks, Wei. One more step.” ending

Make it yours

  1. Tag each branch and year

Add ?branch=Northside&season=2027 to the link. The heading reads “Join Northside”, and both are saved with each application.

  2. Pause joining between rounds

Set open and close times under Settings → Schedule; the closed message tells people how to reach the membership secretary.

  3. Keep the register in a sheet

In the Workflows tab, send each application to Google Sheets, one row per member.

Good practice and the law

  • US

Club news by email must say how to opt out and give your postal address. Notices about someone’s own membership are exempt from most of these rules. FTC, CAN-SPAM Act compliance guide

  • Australia

If the Privacy Act covers your organization, tell people why you collect their details and who will see them. OAIC, APP 5

Questions about this template

Can I collect membership fees through the application form?

No, payments are not available. Nothing is charged on the form; once the committee approves, you send an invoice from your own accounting tool with how to pay and the due date.

Should renewals use the same form?

Yes. Renewing members pick “Renewing my membership” and give their number. Send the same link each year with ?season= changed.

How does a family membership work?

One adult applies and lists everyone else it covers. Only the applicant signs; your rules decide who on it can vote.

Can a professional association use it?

Pick “Professional association” above the preview: grades replace the club types, and it asks for an employer, credentials and a sponsor or reference.

Who can see a member’s application?

Everyone who gets the notification email or opens a synced sheet. Keep both to the committee and registrar the note at the top names.

Does the committee have to approve every member?

Only if your rules say so. If not, change the thank-you screen to say membership starts when the fee is paid.

Which form do you need?

Not quite the job? One of these may fit, or browse all application forms.
