What happens after someone submits

The registration, the invoice and the calendar entry can all start from one response.

  1. Submitted

  2. An organization is paying

Your accounts team gets an email with the invoice contact, PO number and billing address.

  3. Every registration

The delegate lands in People, tagged with this year’s conference, ready for next year’s call.

  4. Right after they register Pro

Delegates get a calendar invite for the conference days, which opens in any calendar app.

What this form asks, and why

A conference registration form needs the delegate’s name as it should appear on the badge, their organization, the registration rate, the days, workshops and social events they will attend, dietary and access needs, and who pays. When an employer pays, add the invoice contact, a purchase order number and the billing address.

Question Why it is there
Full name Required For the invoice and the attendance certificate.
Name on your badge Optional, so Elizabeth can be Liz on the lanyard while the invoice stays formal.
Email Required Confirmation and program changes. It also blocks double registrations.
Mobile Optional, for the registration desk on the day.
Organization Required Printed on the badge and the delegate list.
Job title Optional. A second badge line.
Registration type Required Conference fees depend on who you are, not on a ticket, so each rate carries its price.
Member number Required Only when “Registration type” is “Member” Shown only for the member rate, to check before invoicing.
Where do you study? Required Only when “Registration type” is “Student” Shown only for the student rate.
Which days are you attending? Required Day counts for catering and room rental.
Which workshops will you attend? Room sizes per workshop, counted before the day.
Social events Catered separately, and the dinner often costs extra.
Dietary requirements Several meals over several days, so kosher and halal are listed.
Accessibility or support needs Captions, a hearing loop or a quiet room take weeks to book.
Who is paying? Required Only when “Registration type” is not “Speaker (no fee)” The delegate is often not the payer, and speakers never see this question.
Invoice contact name Required Only when “Who is paying?” is “My organization” The person in accounts who will approve the invoice.
Invoice contact email Required Only when “Who is paying?” is “My organization” Where the invoice goes, which is rarely the delegate’s inbox.
Purchase order number Only when “Who is paying?” is “My organization” Many public bodies cannot pay an invoice without one.
Organization billing address Required Only when “Who is paying?” is “My organization” Often not the delegate’s office.
Cancellation Required Refund deadlines, and whether a colleague can take the place. Link your policy.
Delegate list Unchecked. Sharing names with other delegates or sponsors is the delegate’s choice.
Updates Kept apart from program emails, so saying no costs nothing.

What we left out

  • Card number and security code. Card data belongs neither in a form field nor on a mailed page, so the form and its PDF leave it out.
  • A fee grid with a total to add up. Prices sit in the registration options, and the total belongs on the invoice.
  • Signature and date. The cancellation checkbox records agreement, and every response is stamped with the time it was sent.

How the form changes as people answer

Most people see a shorter form. These questions and screens only appear when an answer calls for them.

  1. When “Registration type” is “Member”

    shows “Member number”

  2. When “Registration type” is “Student”

    shows “Where do you study?”

  3. When “Registration type” is not “Speaker (no fee)”

    shows “Who is paying?”

  4. When “Who is paying?” is “My organization”

shows “Invoice contact name”, “Invoice contact email”, “Purchase order number” and “Organization billing address”

  5. When “Registration type” is “Speaker (no fee)”

shows the “Thanks, Elizabeth: you’re registered as a speaker” ending

  6. When “Registration type” is “Exhibitor”

shows the “Thanks, Elizabeth: you’re registered as an exhibitor” ending

Make it yours

  1. Card or invoice

“Who is paying?” splits the route: “My organization” opens the invoice questions and “I am” skips them. For self-payers, add a thank-you screen with a Pay now button linked to your payment page, and a rule that ends there on “I am”.

  2. Send members straight to their rate

Link member mail-outs with ?type=member and the member rate is already chosen, with the member number question showing.

  3. Track group and sponsor codes

Add ?code=GROUP10 to a link. The code is saved with each registration, ready to apply on the invoice.

Questions about this template

Do speakers fill in the same form?

Yes. “Speaker (no fee)” is a rate on the same delegate registration form, and speakers finish on their own thank-you screen with what happens next. Exhibitors get one too.

Can a manager register several staff at once?

Each delegate needs a badge, so each registers. Every registration can name the same accounts contact for the invoice. Staff needing approval first send a conference travel request.

Can I print name badges from the registrations?

Yes. Export to CSV or Excel: badge name, organization and job title are separate columns. Where the badge name is blank, print the full name.

Can delegates register on paper?

Yes. Print the PDF: the same questions and invoice section, with no card number boxes. Type each paper form into the live link, so every registration sits in one list.

Which form do you need?

Not quite the job? One of these may fit, or browse all registration and event forms.
