What happens after someone submits

Set it up in the Workflows tab, and choosing vendors becomes a few decisions instead of an inbox to sort.

  1. Submitted

  2. Applications are open

A daily digest shows you each new vendor and what still needs a decision.

  3. You accept a vendor

Reply from their application with the space number and invoice details or link, and their answer comes back to the same thread.

  4. The week before the event

Tag accepted vendors in People and send them set-up times in one bulk email.

Make it yours

  1. One form for every event

Add ?event=Spring Twilight Market to the link. The heading names the event, and it is saved with each application.

  2. Close on your cut-off date

Set the close time under Settings → Schedule; late applicants see “Vendor applications for this event have closed.”

  3. Draw the site plan from a sheet

In the Workflows tab, send each application to Google Sheets, then sort by category, space size and power.

  4. Link conditions that cover the day

Your conditions page should cover set-up and pack-down times, the fee and when it’s due, refunds if either side cancels, the insurance you need, and what may be sold.

Questions about this template

How do I choose between vendors?

Publish your criteria at the top of the form (handmade, local, a mix of categories), then compare applications by category with the photos side by side.

Can a vendor apply for only some market days?

Yes: they check the dates they can do. The CSV or Excel export gives each date its own 1/0 column, so you can count vendors per day.

Can vendors send insurance later?

Yes. The certificate upload is optional. Make it required if your venue will not book an uninsured vendor.

Does it work for food trucks and farmers markets?

Yes. The base form is a craft fair vendor application. “Food vendor or food truck” adds kitchen, permit and generator questions, and “Farmers market grower” makes it a farmers market vendor application that asks where the farm is.

Which form do you need?

Not quite the job? One of these may fit, or browse all application forms.
