What happens after someone submits

Set these up in the Workflows tab, so every order reaches the kitchen the same way.

  1. Submitted

  2. An order comes in

You get it by email with a PDF of the order attached, ready to print for the kitchen.

  3. It has a date and time

A calendar invite for that day and time lands in your own calendar, so no order is forgotten.

  4. You confirm the order

Reply from the response with the final total and timing, and their answer comes back to the same thread.

What this form asks, and why

A food order form asks when and where the food is needed and for how many people, then the menu quantities, dietary needs and any allergy, and how the order is paid. 11 of 11 forms ask the date and 9 of 11 forms the headcount, before any food.

The last column shows how often real food order forms ask for it.

What we left out

  • An approver’s signature. Asked on 6 of 11 forms in some form. With the approver’s email you can get that yes by reply, without a printer.

How the form changes as people answer

Most people see a shorter form. These questions and screens only appear when an answer calls for them.

  1. When “Pickup or delivery?” is “Delivery (+$25)”

    shows “Delivery address”

  2. When “Does anyone eating have a food allergy?” is Yes

shows “Which allergens, and for how many people?”

  3. When “How will you pay?” is “Charge to a department account”

shows “Account or cost code” and “Email of the person who approves the spend”

  4. When the order total is 0 and “Anything else from our menu?” is left blank

shows the “Your order is empty” ending

  5. When “Pickup or delivery?” is “Pickup”

shows the “Thanks, Hana. Your order comes to $351.” ending

  6. As people answer

    adds up the order total

Make it yours

  1. Close orders on your cut-off

Set a close time under Settings → Schedule, and cap each day’s orders under Settings → Limit responses.

  2. Take takeout and pre-orders

Pick “Takeout or pickup” above the preview: no headcount or delivery, and a pickup day and time instead.

  3. Send the kitchen a list

In the Workflows tab, add Google Sheets. Each order is a row with the date, time, counts per item and allergies.

Questions about this template

How do customers pay for their food?

The total adds up on the form, and the thank-you screen gives your invoice, bank transfer or pay-at-pickup details. Nothing is charged on the form.

Can a department be billed instead?

Yes. “Charge to a department account” asks for the cost code and the approver’s email, and nobody else sees those questions. For supplies rather than food, staff send a purchase requisition form.

Can I stop orders for dates that are too soon?

Not automatically: a date question takes a fixed earliest date, not a number of days ahead. State your lead time in the intro.

Why does it ask about allergies separately from dietary needs?

A vegetarian meal is a preference; an allergy can put someone in hospital. A separate yes or no makes sure nobody skips it.

Which form do you need?

Not quite the job? One of these may fit, or browse all order forms.
